This position is needed to be responsible for monitoring the financial implementation of country projects, participating in the creation of budgets, budget configuration in the systems, generation of monthly and quarterly reports, requesting comments for variations in execution and closure.
This position will work closely with the Financial Planning and Analysis Coordinator to provide all necessary information in accordance with their responsibilities.
ROLE DIMENSIONS

MAIN RESPONSIBILITIES
- Project portfolio budget management.
- Prepare project budgets ensuring all relevant costs are included.
- Have the final version of the budget approved by the Donor.
- Keep track of budget modifications made throughout the life of the project with their respective authorization.
- Ensure that all expenses are correctly coded and recorded (payroll, operating costs, direct costs, partners), otherwise request their correction.
- Participate in budget planning and updating workshops.
- Configure the budget in the different currencies necessary in the ERP in use.
- Make annual budget modifications and quarterly updates in the different currencies necessary in the ERP in use by project and periods.
- Transfer financial information to the different Plan formats.
- Record donation income from each project in the ERP in use.
- Request monthly funds to make payments related to the project.
- Consolidate monthly timesheets prepared by the project team.
- Participate in internal and external project monitoring meetings and comply with assigned tasks according to agreement minutes.
- Keep track of the reimbursements that the project must make to PIG for cost recoveries.
- Follow up on project audits.
- Budget execution reports.
- Prepare monthly budget execution reports in local currency and Donor currency, in internal PIG format and share it with project stakeholders to document/explain variations.
- Prepare budget execution reports in Donor format according to the report delivery schedule (monthly, quarterly, semi-annual, etc.) and document/explain variations.
- Consolidate Plan and Partners budget execution report.
- Prepare reconciliation of information between budget execution report versus ERP in use and versus project bank account.
- Ensure compliance with the delivery of financial reports to Donors.
- Keep track of execution by budget line in local currency and Donor currency and send alerts/recommendations in a timely manner.
- Keep track of exchange variations in projects and provide alerts about budget gains or losses.
- Monitoring and accompaniment to Partners.
- Make periodic visits to partner offices to review documentation of reported expenses.
- Review partner execution reports and ensure that they reconcile the amounts with the project bank account.
- Review member financial settlements and ensure consistency of expenses by budget line and send alerts/recommendations in a timely manner.
- Follow up so that partner financial settlements are recorded in the ERP in use.
- Participate in follow-up meetings with partners and systematize the agreements/commitments acquired.
- Make advance payment requests for partners.
- Financial closing of projects.
- Ensure all expenses are recorded before the project end date.
- Ensure that the income recorded in the ERP in use matches the execution total.
- Ensure that relevant project documentation is moved to the financial file.
- Have the backup organized with the relevant digital information of the project.
- Accompany the focal point to close the project in the ERP in use within the established time.

TECHNICAL EXPERIENCE, KNOWLEDGE AND SKILLS
Experience:
- 3 or more years of experience in design, planning and financial monitoring of social development projects.
- Development of financial budgets.
- Problem solving and negotiation skills.
- Social sensitivity.
Fundamental Knowledge
- 3 or more years of university studies in Public Accounting, Auditor, Business Administration, or equivalent.
- Financial analysis capacity.
- Ability to calculate and project numerical figures.
- Preparation and interpretation of financial reports.
- Good intercultural communication, assertiveness in verbal and written form.
- Organization and job planification.
- I work under pressure and for results.
- Management of Microsoft Office packages and email (advanced level of Excel).
- Ability to use ERP software.
- Intermediate level of English (desirable).

- It requires concentration, analysis, review of reports, calculations, decision making, quick solution to special problems. It does not require significant physical effort.

- 80% of the work is performed in an office and the other 20% in the field. The position lacks considerable risks.
