PLAN INTERNATIONAL KENYA 
Plan International Kenya (PIK), operational since 1982, focuses on long-term development. Collaborating closely with local communities and governments, PIK implements programs to enhance the well-being of children in areas such as Nairobi, Machakos, Kajiado, Tharaka-Nithi, Siaya, Kwale, Kilifi, Homa Bay, Kisumu, Tana River, Turkana, Marsabit and Isiolo.

 

Under the current Country Strategy (July 2021 – June 2026), PIK aims to end teenage pregnancies and gender-based violence against girls. This goal aligns with four strategic objectives:

1.    Sexual and Reproductive Health and Rights (SRHR): Improve access to SRHR services and information to reduce teenage pregnancies and harmful practices in Kenya.
2.    Prevention and Response to Gender-Based Violence: Ensure functional child and girls' rights protection mechanisms to prevent and respond to all forms of violence and abuse.
3.    Protecting Girls and Young Women in Crisis and Climate Change Adaptation: Minimize the impact of disasters on girls, young women, families, and communities.
4.    Youth-led and Innovative Partnerships for Job Creation: Build a stronger ecosystem for youth employment and entrepreneurship, particularly for vulnerable young women, fostering job seekers and creators.

 

ABOUT THE ROLE
Reporting to the Urban Program Manager, will be responsible for and accountable for the oversight of Sponsorship operations in Machakos (Matuu location). This implies taking responsibility for the sponsorship funding for project activities and sponsorship communications delivery. The incumbent will provide overall sponsorship management for quality and timely delivery of sponsorship communications and projects deliverables. S/he will be engaged in building better partnerships that drive our program and sponsorship work at the assigned location. This includes partnership building with stakeholders to ensure achievement of results for the beneficiaries especially girls and sponsored children.

 

ACCOUNTABILITIES AND MAIN WORK ACTIVITIES

 

Sponsorship Project Coordination (20%) 
•    Provide leadership and coordination of the Approved SPAD(s), while ensuring quality delivery of the Sponsorship funded project.
•    Provide oversight of the Local Implementing partner/s(LIPs), including management of the contract
•    In any case of Phase in or phase out of Sponsorship participants, ensure the necessary approved process are well managed and executed.
•    Advance a seamless integration of project activities and sponsorship communication processes to give the organization optimal results and ensure the intended sponsorship participants are at the centre of the projects.
•    Promote sensitization of staff and Local Implementing partners on Plan’s policies, strategies, procedures, values and behaviours.  
•    Enhance compliance to child sponsorship policies and guidelines
•    Advance appropriate branding of sponsorship program and media.

 

Project design, planning & Implementation (15%)    
•    Actively facilitate the development of the Sponsorship project design, while ensuring meaningful stakeholder (girls, boys, youth, communities and partners) engagement, to inform priorities of program participants in the project design, implementation and evaluation
•    Enhance realization of children and girls’ rights through design and implementation of gender transformative project interventions.
•    Ensure sponsorship and program work directly contributes to the outcomes for girls and young women are realised and that girls take lead in advocating for their rights 
•    Ensure effective management of all communications with National Offices & country office on child sponsorship.
•    Ensure compliance with relevant policies, contracts and agreements.
•    Ensure timely planning with the LIPs and effective implementation of sponsorship project activities and sponsorship communications against the approved activity and budget plans. 
•    Hold quarterly reviews to monitor achievement of the outcomes, sponsorship communications and sponsorship funding budget utilization to ensure the all the Key performance Indicators are on track.
•    Support the development and usage of procurement plans in execution of project activities

 

Monitoring, Evaluation, Learning and Reporting (15%)
•    Monitor the progress of Sponsorship funded project implementation and undertake corrective actions.
•    Develop quality and timely reports in accordance with Organization guidelines and procedures.
•    Monitor child sponsorship activities to ensure realisation of sponsorship commitments and monthly KPIs
•    Promote evidence-based programming through data gathering and dissemination with wide consultation of sponsored families and other stakeholders. 
•    With support of M&E, enhance learning and knowledge management through documentation and profiling of Plan’s work.
•    Provide oversight to Local Implementing Partner (LIP) for management and production of all sponsorship communications to ensure accurate, timely and complete data is available each month with a monthly target performance of 95%.
•    With support of M&E, maintain a beneficiary tracking system in line with monthly and quarterly reporting tools.

 

Partnership management and networking (10%)    

•    Support the partner in delivery of the Sponsorship Project and Sponsorship Communications deliverables.
•    Monitor the partners’ compliance with applicable policies, and terms of the partnership agreement. 
•    Ensure that the partner is making progress towards achieving the goals and objectives of the sponsorship and program deliverables. 
•    Provide guidance and technical assistance to the partner as needed, to ensure successful implementation of the sponsorship and programactivities as needed. 
•    Ensuring regular communication, site visits, and reporting requirements are met.
•    Promote active engagement and participation of communities in Project activities. 
•    Identification, engagement and capacity development of partners to support program implementation

 

Financial Responsibility (10%)
•    The incumbent will be the primary budget holder for several allocated sponsorship.
•    S/he will track monthly sponsorship activity budgets and report on any variances to the line manager
•    Support the development and execution close out plans and budgets for the PU
•    Ensure smooth transition of sponsorship funded projects upon phase out of the PU
•    Monitor expenditures to promote prudent budget management. 

 

Capability building and People Management (10%) 
•    Provide leadership to data clerks and ensure all Sponsorship quality standards are met.
•    S/he will supervise approximately 4 staff.  
•    Manage staff performance and deal with any unsatisfactory performance proactively
•    Promote team cohesiveness and integration at the Satellite Office level and ensure all staff are clear on their individual contribution to the overall program goal
•    Manage change in the phase out or any phase in of sponsorship operations 
•    Coach and mentor direct reports to enhance their skills and engagement 

 

Risk Management (10%) 
•    Risk assessment and ensure existence and compliance of controls for proper risk management for all sponsorship communications and project deliverables.
•    Provide support on safeguarding and case management of sponsored families
•    Identify, report and manage any safeguarding risks.

Safeguarding Children and Young People (Safeguarding) and Gender Equality and Inclusion (GEI) (5%)
•    Understands and puts into practice the responsibilities under Safeguarding and GEI policies and Plan International’s Code of Conduct (CoC), ensuring that concerns are reported and managed in accordance with the appropriate procedures.
•    Leads the orientation of programme staff to ensure that they are properly inducted on and understands their role in upholding Plan International’s safeguarding and GEI policies;
•    Ensures that Plan International’s global policies for Safeguarding Children and Young People and Gender Equality and Inclusion are fully embedded in project design, during implementation and as principles applied in day-to-day work of Programme team; 
•    Ensures that Plan Kenya contributes to Plan International’s global efforts to ensure safeguarding and GEI, including making sure that relevant reporting and data are submitted.  

 

Other duties ( 5%)
•    Any other duties as assigned by the supervisor

 

TECHNICAL EXPERTISE, SKILLS AND KNOWLEDGE
Qualifications/ experience essential: 
•    Bachelor’s Degree in Social Sciences, Project Management, Development studies and related disciplines.
•    3 years’ relevant experience preferable in management of gender transformative and girls’ rights projects 
•    At least 2 years’ experience managing teams. 
•    Demonstrable experience managing projects with budgets over and above €1M preferably across various thematic areas.
•    Demonstrable experience in implementation of programs through partnerships.
•    Experience in capacity building of partners
•    Experience working with grassroots organizations 
•    Thorough knowledge of programming methodologies

 

Qualifications/ experience desirable: 
•    Understanding of Plan International Sponsorship program
•    Sound understanding of integrated development issues and rights-based programming.
•    Experience in working with Local Implementing partners

 

Languages required
•    Excellent written and verbal communication skills in Kiswahili and English.
