Background

Plan Indonesia is currently implementing Country Strategy 5 (CS 5) covering the fiscal year 2022 to 2027, where the country’s purpose is in line with the global Plan International’s Purpose “to advance children’s rights and equality for girls.” Plan is a dual mandate organization, in development and humanitarian. Plan Indonesia supports humanitarian scale-up, aiming to be the NGO partner of choice for promoting and supporting girls in emergencies. While Indonesia is a disaster-prone country, Plan Indonesia will support the needs and gaps experienced by children and young people, particularly girls in emergencies.

 

The Opportunity

 

The Logistics and Information Technology (IT) Officer provides exceptional technical support and customer service to resolve staff technical issues effectively and serves as a primary point of contact between IT and operating, business, and functional teams. The role is also responsible for managing organizational assets and the warehouse, as well as coordinating logistics operations.

 

 

Key Responsibility :

 

(1) Onsite and Remote Technical Support

  •       Provides onsite and remote support to all YPII staff for hardware/software installation or maintenance.
  •       Assesses office users’ IT needs and delivers solutions.
  •       Configures and supports meeting room audio/visual equipment and systems.
  •       Provides escalated technical support that requires an on-site presence (server, NAS, network, or PC equipment failure), including data backup and recovery.
  •       Responsible for monitoring data backups (i.e., email, grant project data, finance, and logistic procurement data) in offices to ensure that they are completed regularly.
  •       Performs medium to complex software/hardware troubleshooting, patches, and re-installations in cooperation with the Global Hub Helpdesk and in accordance with established SLAs.

 

(2) Asset Management

  • Performing administrative management & documentation of new assets, asset transfer, & repair
  • Ensuring that throughout the life cycle, the assets are capitalized, maintained, used, and appropriately disposed of.
  • Assist the Senior Supply Chain Officer in managing the disposal of organizational assets, ensuring all disposal activities are conducted in accordance with established policies and procedures, and completed in a timely, transparent, and compliant manner
  • Assist the Senior Supply Chain Officer in conducting the annual physical inventory of assets
  • Assist the Senior Supply Chain Officer in coordinating day-to-day third-party warehouse operations, including maintaining accurate warehouse inventory records, managing the item database, monitoring stock movements, and tracking product expiration dates to ensure inventory accuracy and compliance with organizational standards

 

(3) Equipment & Resources Management

  • Lifecycle management (new setup, inventory, support) of computers, printers, phones, and network equipment.
  • Assist the IT Manager with the IT portion of new office setups and expansions. This includes relocation and/or installation of voice/data communications solutions, LAN, and PC equipment.
  • Maintain data protection by providing user-level access control to YPII IT resources
  • Assist in the preparation of regular periodic status reports on key measurement indicators, project delivery, accomplishments, and other activities

 

(4) Operational Administration

  • Coordinate and administer recurring Country Office operational billings, including utilities, internet, telecommunications, office services, and other routine operational expenses. Review and verify invoices for accuracy, ensure complete supporting documentation is in place, and coordinate with the Finance team to facilitate timely payment processing and prevent service disruptions.
  • Maintain accurate billing records and supporting documentation in accordance with organizational policies

 

(5) Onboarding and Training

  • Provides new staff with computer/account setup and orientation on how to use IT equipment in a responsible manner
  • Delivers IT onboarding orientation, support, and assistance for new staff

 

 

(6) Safeguarding, PSHEA, & GEDSI

  • Carrying out YPII Safeguarding, PSHEA, & GEDSI principles and standards can be applied to all IT work.
  • Carry out the process of recruiting, screening, training, and managing all people working on IT initiatives – including consultants/partners – in line with Safeguarding, PSHEA, & GEDSI policies and Global IT Policy. Carry out regular evaluation of the implementation of Safeguarding, PSHEA, & GEDSI & Global IT Policy within the scope of IT, which involves participation with Staff (Example: Misuse of YPII's Gadgets for access to pornography, child exploitation, and various acts of violence in the digital media, etc.)
  • Conduct behavior that reflects a commitment to building professionalism, a culture of protection, prevention of violence, and the attitude to have the courage to report any form of violence against children and program participants, and participate in regular evaluations through the Annual Appraisal related to safeguarding with supervisors
  • Completed face-to-face induction and/or Safeguarding training and refresher training through the Plan Academy platform and promptly recertified.

 

Requirements for The Role:

 

Experience and Knowledge

 

  • Bachelor’s degree plus 3 years’ experience in IT operations or equivalent combination of education and experience.
  • Experience with MS Office 365 cloud software, Windows and On-site/remote environment.
  • Some experience with NAS environment and cloud backup environment
  • Experience in IT end-user support and providing technical knowledge expertise with Windows PCs and PC troubleshooting
  • Experience installing and supporting wired and wireless networks.
  • Customer service oriented
  • Experience with MS Active Directory user and account administration.
  • Experience with MS SharePoint intranet services, as well as file sharing and collaboration tools.
  • Experience training and/or communicating complex IT equipment and software to a variety of audiences.
  • ITIL, CompTIA A+ or similar certification preferred
