Background
Plan International is an independent development and humanitarian organization that advances children’s rights and equality for girls. Plan International has operated in Indonesia since 1969, and in 2017, Yayasan Plan International Indonesia (Plan Indonesia) was established as the national entity of Plan International in Indonesia. Plan Indonesia is currently implementing Country Strategy 5 (CS 5) covering the fiscal year 2022 to 2027, where the country’s purpose is in line with the global Plan International’s Purpose “to advance children’s rights and equality for girls.” Plan is a dual mandate organization, in development and humanitarian. Plan Indonesia supports the humanitarian scale-up, aiming to be the NGO partner of choice to promote and support girls in emergencies. While Indonesia is a disaster-prone country, Plan Indonesia will support the needs and gaps experienced by children and young people, particularly girls in emergencies.
The Opportunity
The Project Finance Internship is responsible for providing essential financial and administrative support within the Finance Management. Under the guidance of the finance team, this role assists in financial tracking, document verification, and reporting to ensure alignment with organization (YPII) requirements and policies.
Key Responsibility :
Financial and Administrative Support
- Assist in reviewing payment requests, invoices, and supporting documents for completeness, accuracy, and compliance with internal policies and donor requirements.
- Ensure expenditures are properly documented, authorized, and aligned with correct project budget lines (WBS).
- Support the preparation of payment documents and track their processing status.
- Monitor the acquittal/liquidation of advances and track outstanding balances to ensure timely settlement.
- Assist the Finance and Project team in conducting basic budget variance analysis and preparing project forecasts.
- Maintain secure, organized, and easily traceable digital and physical filing systems for all financial documents (e.g., vouchers, contracts, and reports) to support audit readiness.
Partner and Field Support
- Oversee the receipt of financial documents from Implementing Partners (IPs) under the guidance of the Project Finance Team.
- Assist in tracking partner financial submissions (e.g., advance liquidations) and prepare simple summary trackers.
- Coordinate with IPs in preparing financial documents and follow up with relevant internal teams or partners to resolve missing or unclear documentation.
General Finance Support
- Provide financial documentation during internal and external audit fieldwork.
- Participate in preparing materials for project coordination meetings.
Requirements for The Role:
- Final year bachelor/master's student or a fresh graduate in accounting, financial management, banking, commerce or a related field.
- Able to commit to a 3-6 months fulltime internship contract.
- Strong proficiency in spreadsheet management (Microsoft Excel, Google Sheets, G-Suite), with a solid understanding of data organization, formulas, and database maintenance.
- Prior experience or volunteering (preferred) with NGOs is highly desirable.
- Excellent problem-solving skills and attention to detail.
Location: Based in Jakarta, Graha Inti Fauzi, 10th floor. It is important to note that YPII currently applies a mix of working from Home and working from Office arrangements.
