SUMMARY OF THE POSITION

DIMENSIONS OF ROLE

 The District Coordinator reports to the PIIA Manager with dotted line to Team Leader. The District Coordinator is charged with the responsibility of supporting the Program to fully implement the project goals in Kailahun District with respect to the targeted schools as the project requires.

 

The District Coordinator will be actively involved in the implementation of the project, in direct contact with the primary beneficiaries within the targeted schools and the district local authorities including the MBSSE

 

ACCOUNTABILITIES

Key Deliverables

  • Evaluate potential problems and recommend solutions;
  • Ensure commodity release from the warehouse is done using the approved documentation (approved food request forms).
  • Ensure there is good coordination between warehouse and field teams during dispatch of food commodities.
  • Supervise FIELD OFFICER / WHO / FSO / FSO to ensure that all commodities arriving at the schools are properly accounted for and properly documented.
  • Supervise FIELD OFFICER / WHO/ FSO / FSO and ensure that food commodities are stacked in an organized manner which facilitates easier counting.
  • Ensure all excess commodities received are returned to the warehouse using a Return to Store waybill.
  • Supervise FIELD OFFICER / WHO / FSO/ FSO to ensure that they are conducting random weighing of commodities being offloaded from the trucks to ascertain that they are of the correct weight as indicated in the waybill.
  • Supervise and ensure that FIELD OFFICER / WHO / FSOs are conducting random weighing of rations received by beneficiaries to establish whether they are getting rightful rations.
  • Ensure that all distribution kits are procured and distributed according to the no. of Schools / FIELD OFFICER / WHO / FSOs
  • An accurate record of all the distribution items is kept and reviewed
  • Ensure that FIELD OFFICER / WHO / FSO, prepare all necessary forms related to food distribution i.e Way bills, loss damage reports, within the agreed timeline.
  • Ensure the distribution plan is printed out prior to the dispatch and shared with the FIELD OFFICER / WHO / FSOs. Verify the school list to ensure that it tallies with the food log.
  • Review all forms and reports including the food school roll and canteen request to ensure that they are completely filled and are accurate and approved by relevant person.
  • Ensure FIELD OFFICER / WHO / FSOs file commodity forms and reports according to agreed filing format.
  • Generate at least one human interest story every month and submit to M&E /CO for review and onward submission to the donor.
  • Together with the FIELD OFFICER / WHO / FSO and WO ensure that the distribution materials are kept clean and in good usable condition.
  • Supervise FIELD OFFICER / WHO / FSO and ensure that they conduct caucus meeting with chiefdoms leaders and school authorities to agree on roles and responsibilities during implementation
  • Build relationships with team members to develop a strong working unit and supporting their impact on the success of a project.
  • Perform other related duties as assigned.

 

General Accountability

Ensures that Plan International’s global policies for Safeguarding Children and Young People and Gender Equality and Inclusion are fully embedded in accordance with the principles and requirements of the policy including relevant Implementation Standards and Guidelines as applicable to their area of responsibility. This includes, but is not limited to, ensuring staff and associates are aware of and understand their responsibilities under these policies and Plan International’s Code of Conduct (CoC), their relevance to their area of work, and that concerns are reported and managed in accordance with the appropriate procedures
