Plan started working in Egypt in 1981 and has a presence in ten of the 27 governorates in which the country including Cairo, Alexandria, Giza, Beheira, Kalyoubia, Damietta, Qena, Assuit and Sohag. Plan international Egypt implements programmes designed to enable communities to improve the lives of the most marginalised children and their families. Plan Egypt’s Country Strategy focuses on five strategic objectives.
Through a five-interconnected, gender transformative and context-fit country objectives, PIE intends along with the various stakeholders at all levels to continue delivering positive and transformative changes so that “Children, especially girls, and young people grow up in an enabling environment, realizing their rights and contributing in both development and humanitarian settings as active agents of change”.
Purpose
The purpose of the role is to drive the systematic capture, sharing, and application of knowledge and learning within the organization. By fostering a culture of continuous learning, enhancing staff capacity, organizing knowledge resources, and disseminating insights effectively, the role aims to strengthen program impact, encourage innovation, and contribute to transformative outcomes. Through strategic coordination of knowledge management initiatives, this position promotes organizational learning, supports data-driven decision-making, and enhances the organization’s ability to adapt and respond to evolving challenges and opportunities in development and humanitarian contexts.
Scope
The Knowledge Management and Learning Coordinator at Plan International Egypt is responsible for facilitating knowledge sharing, organizing learning events, managing knowledge systems, and supporting capacity-building initiatives. The coordinator ensures compliance with quality standards and ethical guidelines while working closely with staff, partners, and stakeholders to embed a culture of continuous learning, collaboration, and improvement across the organization.
Key relationships
Internal
• Collaborates closely with project managers and program staff to understand program needs, gather learning and knowledge aspects, and support the integration of learning into program activities.
• Works with the MERL Manager to align knowledge management and learning activities with organizational priorities and strategies.
• Coordinates with the communication team to disseminate knowledge, insights, and findings through various communication channels and platforms.
External
• Engages with local partner organizations to exchange knowledge, share best practices, and coordinate joint learning initiatives.
• Coordinates with Plan’s Global Hub team to share knowledge and learning insights effectively.
• Establishes partnerships with academic institutions to access research expertise, leverage academic resources, and collaborate on studies and learning projects.
Accountabilities and MAIN WORK ACTIVITIES
Knowledge management and Sharing Coordination:
- Facilitate knowledge sharing activities and initiatives within Plan International Egypt, including workshops, seminars, communities of practice, and online platforms.
- Develop and maintain systems and processes for capturing, organizing, and disseminating knowledge, including documents, reports, case studies, and lessons learned.
- Collaborate with program teams to identify, document, and share best practices, innovative approaches, and success stories across projects and sectors.
- Ensure that knowledge reports and other documentation are stored in accessible formats and repositories for easy retrieval and dissemination.
- Develop and implement protocols for documenting and disseminating organizational policies, procedures, and best practices to ensure consistency and alignment across teams and projects.
- Develop communication strategies and dissemination plans to share knowledge products with internal and external audiences.
- Produce and distribute knowledge products, such as reports, briefs, presentations, and infographics, through various channels and platforms to maximize reach and impact.
- Monitor and evaluate the impact of knowledge management and learning activities by tracking key performance indicators, collecting feedback, and conducting periodic reviews to identify areas for improvement.
Learning Events Organization:
- Plan, coordinate, and execute learning events, such as training sessions, webinars, and conferences, to promote knowledge exchange, capacity building, and networking opportunities.
- Evaluate the effectiveness and impact of learning events through participant feedback, surveys, and post-event assessments, using findings to inform future event planning and improvement.
- Support the development and implementation of capacity-building initiatives to enhance staff members' skills and competencies in knowledge management and learning methodologies.
Data Systems Management:
- Manage data systems for storing, retrieving, and analyzing organizational data, ensuring accuracy, integrity, security, and compliance with data protection policies.
- Develop and maintain data management protocols and quality mechanisms to govern data collection, entry, validation, and reporting processes.
- Provide training and technical support to staff on data management tools and techniques to enhance data literacy and proficiency across the organization.
Capacity Building Support:
- Support capacity-building efforts by identifying learning needs, designing training programs, and delivering workshops on topics related to knowledge management and learning approaches.
- Provide mentorship, coaching, and technical assistance to staff, partners, and stakeholders on knowledge sharing techniques and data analysis methods.
- Foster a culture of continuous learning and improvement by promoting self-reflection, peer learning, and knowledge sharing among team members and partners.
Stakeholder Engagement:
- Engage with staff, partners, and other stakeholders to solicit feedback, share insights, and co-create knowledge products and learning resources.
- Foster partnerships and collaborations with external organizations, academic institutions, and professional networks to leverage expertise, resources, and opportunities for joint learning and knowledge exchange.
- Represent Plan International Egypt in relevant forums, working groups, and networks related to knowledge management and capacity building, advocating for best practices and promoting organizational visibility and thought leadership.
Safeguarding Children and Young People and Gender Equality and Inclusion (GEI)
- Understands and puts into practice the responsibilities under Safeguarding and GEI policies and Plan International’s Code of Conduct (CoC), ensuring that concerns are reported and managed in accordance with the appropriate procedures.
- Ensures that Plan International’s global policies for Safeguarding Children and Young People and Gender Equality and Inclusion are fully embedded in project design and applied as principles.
- Ensures that Plan Egypt contributes to Plan International’s global efforts to ensure safeguarding and GEI, including making sure that relevant reporting and data are submitted.
