THE OPPORTUNITY
The post holder is responsible for providing safe, reliable and timely transportation services to Plan staff, visitors and stakeholders, while ensuring that assigned vehicles are maintained in safe and operational condition. The post holder also provides basic administrative, logistical and operational support to the Country Office and field locations, as required.
KEY RESPONSIBILITIES
1. Driving and Transportation Services
- Provide safe, reliable and punctual driving services to Plan staff, visitors and other authorized passengers, in accordance with approved schedules, Plan policies, standard driving regulations and applicable traffic laws.
- Transport staff and visitors between the Country Office, field offices, airports, hotels and other official destinations as required.
- Handle the transportation of Plan visitors from the airport and ensure their safe transfer to their accommodation.
- Support the transportation of staff and visitors between field offices and the Country Office, ensuring their safety and timely arrival.
- Collect and deliver project supplies, mail, documents and other official materials between Plan offices and external entities as required.
- Provide transportation support for official meetings, events, missions and other organizational activities.
2. Vehicle and Fleet Management Support
- Conduct daily vehicle checks every morning and report the condition of the vehicle to the designated Fleet Management responsible person.
- Ensure that vehicles are clean, well maintained and equipped with the required tools and safety equipment.
- Monitor and follow up on vehicle servicing and maintenance schedules in coordination with the designated Fleet Management responsible person.
- Process vehicle maintenance and servicing requests and collect vehicles upon completion of the required work.
- Report any vehicle accident, incident, breakdown or other technical issue immediately to the designated Fleet Management responsible person and provide the necessary information and documentation.
- Support the annual technical inspection of vehicles and ensure that required inspections are completed on time.
- Coordinate with the Administration Department, as required, to ensure the timely renewal of vehicle licenses and obtain relevant vehicle violation certificates.
3. Administrative and Logistical Support
- Provide basic logistical and administrative support to the Country Office and field offices as required.
- Support Programs, Finance and People & Culture in the submission and follow-up of government approvals and other compliance-related documents.
- Receive signed cheques from the Finance Department and deliver them to relevant external entities, including CDAs, embassies, hotels, companies and partners, as authorized.
- Handle incoming and outgoing post between the field office and Country Office, ensuring that all correspondence and documents are delivered to the appropriate recipient or placed in the designated tray.
- Provide logistical support for the movement of official documents, supplies and other materials between Plan locations and external entities.
- Support other administrative and logistical activities assigned by the line manager or relevant responsible staff.
What we are looking for:
You will bring:
- A high school education or equivalent.
- At least 8 years of relevant professional experience in a similar driving, fleet, logistics or administrative support role.
- A valid Egyptian Category 3 driving licence and a clean driving record, with no major accidents during the last three years.
- Strong professional driving experience across Egypt, including field locations, with a demonstrated commitment to safe, responsible and punctual driving.
- Good knowledge of Egyptian traffic regulations, road safety and local routes, particularly in the areas where our projects and programmes are implemented.
- Basic knowledge of vehicle safety checks, routine maintenance requirements and vehicle-related documentation.
- Good organizational and follow-up skills, with the ability to coordinate vehicle servicing, maintenance, inspections and administrative requirements.
- The ability to provide professional and respectful support to staff, visitors, partners and other stakeholders.
- A Diploma or Certificate in Auto Mechanics, previous automotive experience, or a background in vehicle maintenance would be an advantage.
- Previous experience working with an international NGO or similar organization would be an advantage.
- A flexible and service-oriented approach, with the ability to respond to changing transportation, logistical and administrative needs while maintaining confidentiality, professionalism and safety.
- Arabic is your native language, with basic working proficiency in English.
