The Opportunity

 

The Change and Project Management Specialist will lead and manage “Pamoja” Project which includes a portfolio of five key strategic initiatives: Process Improvement, Conversion to SAP/4Hana, Data Warehouse, and Impact Reporting and Organization Improvement. This role requires a skilled project manager with a strong understanding of change management practices, the ability to lead cross-functional teams, and a deep commitment to driving transformation in alignment with Plan International’s goals.

The incumbent will be responsible for ensuring that all four initiatives are successfully executed, delivered on time, within scope, and in alignment with Plan International’s mission and objectives

 

The role involves considering the financial implications of both strategic and operational plans, advising management on how to achieve optimal value for money; considerable forward thinking and analytical thinking are required.

 

This position is responsible for reviewing the entire PIH budget annually and can review all financial transactions and supply chain operations. Additionally, the job holder is responsible for ensuring that financial systems, procedures and controls result in efficient utilization of resources and effectively manage risk.

 

Key End Results

Project Management:

  • Lead the planning, execution, and delivery of four key initiatives: SAP Upgrade, Process Improvement, Data Warehouse, and Impact Reporting.
  • Develop and maintain detailed project plans, timelines, and budgets, ensuring all milestones and deadlines are met.
  • Monitor project progress, manage risks, and resolve issues that may arise throughout the project lifecycle.
  • Establish and manage project governance, including regular reporting and stakeholder updates.
  • Coordinate cross-functional teams and ensure all project components (technical, business, and operational) are aligned and executed effectively.

2. Change Management:

  • Develop and implement a comprehensive change management strategy for each initiative, ensuring smooth transitions and adoption of new systems and processes.
  • Engage with key stakeholders to assess change readiness and address any resistance to change.
  • Provide training, coaching, and support to staff to facilitate adoption of new systems, processes, and reporting mechanisms, in coordination with L&D Regional Advisor
  • Communicate effectively across the organization to ensure buy-in from leadership, staff, and external partners.
  • Foster a culture of continuous improvement by identifying and addressing change management challenges.

3. Process Improvement:

  • Driving standardisation and improved controls​
  • Lead initiatives focused on identifying and implementing process improvements across departments and functions.
  • Collaborate with relevant teams to streamline workflows, eliminate inefficiencies, and optimize resources.
  • Apply best practices and methodologies (e.g., Lean, Six Sigma) to improve operational effectiveness.

Conversión to SAP 4Hana:

  • Oversee the successful upgrade of Plan International’s SAP system to improve efficiency, functionality, and scalability.
  • Collaborate with IT and external vendors to ensure the upgrade is aligned with organizational needs.
  • Coordinate with functional area testing, troubleshooting, and user training for the upgraded SAP system.

5. Data Warehouse and Analytics:

  • Lead the development and implementation of a data warehouse solution to centralize and enhance data access across the organization according to global plan.
  • Ensure data integrity, consistency, and security within the warehouse environment according to global plan.
  • Collaborate with data analytics teams to ensure the data warehouse meets organizational reporting and decision-making needs.

6. Impact Reporting:

  • Oversee the design and implementation of a comprehensive impact reporting framework to measure and communicate Plan International's outcomes and results according to global guidelines.
  • Develop key performance indicators (KPIs) to assess project impact and inform future decision-making.
  • Ensure that impact reporting aligns with donor requirements, regulatory standards, and internal performance tracking.

7. Organization Improvement:

  • Manage planning of effective and sustainable PII operating model​ according to Region of The Americas plan
  • Manage planning of CO/ regional operating models  - efficient delivery of quality services to support the sustainable presence of Country Offices, and non-presence models​
  • Manage planning of GH services Phase 2 - role of GH and service scope to support COs & NOs succeed and optimise the value of being globally-connected​

The Individual

Skills and Qualifications:

  • Bachelor's degree in Business Administration, Project Management, Information Technology, or a related field.
  • PMP, PRINCE2, or other relevant project management certification.
  • Minimum of 5 years of experience in project management, with at least 3 years leading complex projects in SAP, process improvement, data management, or reporting.
  • Strong understanding of change management principles and experience implementing organizational change.
  • Proven ability to lead cross-functional teams and manage multiple projects simultaneously.
  • Excellent communication in spanish, presentation, and interpersonal skills to work effectively with stakeholders at all levels.
  • Strong analytical and problem-solving abilities, with a keen focus on outcomes and solutions.
  • Knowledge of Agile and Waterfall methodologies.
  • Experience with data warehouse development or implementation is a plus.
  • Experience working in an international organization or NGO is an advantage.
  • Full domain of English

Desirable:

  • Master’s degree in a related field.
  • Familiarity with SAP S/4HANA, business intelligence tools, or similar enterprise systems.
  • Experience in impact reporting and working with monitoring and evaluation frameworks.
  • French communication skills

Fixed Term Contract: 12 months renewable
