Role Purpose

The Grants Officer will support the Grants & Partnerships Manager in ensuring effective grants management, compliance & reporting by following established processes in line with donor and plan international guidelines.

Under the guidance and direct supervision of the Grants& Partnerships Manager, the Grants Officer will be responsible for coordinating with finance and programs on donor regulations, donor and National Office contracting, grants policies, procedures, controls, and reporting.

 

Accountabilities

 

  1. Grants Management (70%):
    1. Maintain a broad and deep understanding of donor policies, regulations and procedures and build this knowledge among other team members.
    2. Proactively identify compliance risks throughout the portfolio and advise programs, operations and finance teams.
    3. Assist the Grants & Partnerships Manager in drafting, reviewing and follow up of Plan International Funding Approval Documents and amendments.
    4. Conduct briefing sessions on donor requirements and templates with Plan International staff and partners, in coordination with relevant staff and Plan National Offices, when necessary.
    5. Prepare Monthly Grants Monitoring reports and highlight any spending abnormalities (over/under spending).
    6. Co-Facilitate Grants Review Meetings, record and share action points agreed during the meeting.
    7. Review and follow up with project and finance teams on different project management tools including budgets, forecasts and plans.
    8. Ensures quality information management related to grants by overseeing the regular maintenance of Grants Tracker (FAD Tracker).
    9. Take the lead on creating and maintaining effective filing systems as per donor and Plan International policies and procedures.
    10. Participate in project creation on SAP/ERP system through assigning appropriate codes and using relevant currencies.
    11. Follow up with relevant focal points on pending issues and action points related to grants and project closure on SAP/ERP system.
       
  2. Reporting (25%):
     
    1. Follow up on the preparation and submission of internal and external reporting with programs and finance, ensuring high-quality, well-written and timely reports meeting donor and Plan International requirements.
    2. Ensure quality information management related to grants by overseeing the regular maintenance of reporting calendars.
    3. Assist the Grants & Partnerships Manager in drafting and follow up of reports requested by Global Hub & National Offices.
       
  3. Partnerships (5%):
    1. Deliver Grants and Compliance session during start up with Partners.
    2. Assist the Grants & Partnerships Manager  in coordination with the Partnerships Officer in responding to Partners’ inquiries related to compliance and Grants Management.
