ROLE PURPOSE

 

The HR Assistant will provide support to the HR department in the administrative part.

 

 

DIMENSIONS OF THE ROLE

 

Under the direct supervision of the HR Officer, the HR Assistant will be in charge of performing a variety of personnel-related tasks. He/she will support the HR department in duties like recruitment, updating HR database and responding to staff requests.

 

 

ACCOUNTABILITIES

 

HR Administration

 

•    Administer HR-related documentation, such as contracts of employment and attestations 
•    Ensure hard copies & soft copies concerning personnel-related data, recruitment and other needed files are organized as per audit’s requirements
•    Fill social security and ministry of finance forms for new joiners and leavers 
•    Assist the HR team in collecting data for the monthly payroll

 

Recruitment, Selection & Induction

 

•    Assist in the recruitment process of positions, such as advertising, 1st screening of resumes, scheduling tests and interviews, and following-up with the candidates.
•    Plan new joiner’s induction schedule with different departments.
•    Ensure new staff are provided with a Plan ID card, email and relevant documents upon starting their positions, including signing of a Job Description, contract and relevant Plan policies. 

 

Human Resources Information systems

 

•    Maintain an effective electronic human resources information system ensuring completeness and accuracy of records at all times in line with organizational standards and fitting practices. 

 

•    Ensures that Plan International’s global policies for Child Protection (CPP) and Gender Equality and Inclusion (GEI) are fully embedded in accordance with the principles and requirements of the policy including relevant Implementation Standards and Guidelines as applicable to their area of responsibility. This includes, but is not limited to, ensuring staff and associates are aware of and understand their responsibilities under these policies and Plan International’s Code of Conduct (CoC), their relevance to their area of work, and that concerns are reported and managed in accordance with the appropriate procedures.

TECHNICAL EXPERTISE, SKILLS AND KNOWLEDGE

 

Demonstrable knowledge and understanding of:

 

•    Understanding of humanitarian principles and processes
•    Knowledge on sensitive topics and social trends on Child Protection, GBV & Education
•    Working effectively with people of wide and various backgrounds

 

Qualifications and Experience

 

•    Bachelor’s degree in Human Resources Management
•    1-year experience in HR or Admin Support

 

Skills

 

•    Excellent command of English and Arabic (speaking and writing)
•    Confident and proficient in the use of MS Office, especially Excel and Word
•    Excellent communication and interpersonal skills
•    Detail-oriented
•    Good administrative and organizational skills
