  • Support the SSM in the implementation of the Sponsorship commitments
  • Manage the Child Data system
  • Manage the Sponsors requests
  • Coordinate Sponsors’ visits to the field
  • Ensure monitoring of the Country Sponsorship budget in collaboration with the SSM

  • The area of responsibility is limited to the Country Office with operational interaction with the NOs and PUs.

 

Accountabilities

[This section is critical for clarifying expectations of the role, providing the framework for its relationship with colleagues and providing areas of accountability against which performance can be managed.

Caseload Management

- Ensure country caseload tallies with the Country green sheet at the end of each month

- Follow up new enrolments with the field to respect the Plan business rule of having 64% girls newly enrolled.

Implementation of the Sponsorship commitments

- Support the Program Units for timely and quality production of the Sponsorship Communication items

- Ensure a close follow up of Sponsorship production to ensure all commitments are met every month

- Ensure training of Sponsorship staff and partners/service providers in all Sponsorship matters

Sponsorship budget management

      • Prepare the Country Sponsorship annual budget in collaboration with the SSM
      • Ensure monitoring/oversight of the Sponsorship budget in collaboration with the SSM and the PU Sponsorship Officers
      • Follow up with the Administration department the acquisition of material purchases for Sponsorship

 

 

 

Management of the Sponsorship softwares

      • Ensure training of Sponsorship staff and partners/service providers on the Child Data functionalities and the CDPet
      • Ensure the successful implementation of the Child Data different updates
      • With the collaboration and support of the IT staff, ensure all calls are logged to GHD related to issues encountered with the system.

 

Managing National Office Inquiries (NOI)

  • Ensure a close follow up with the PUs to ensure timely responses to NOIs
  • Provide quality and timely responses to NOIs
  • Dispatch NOI responses especially letters to the NOs

 

Information on SC death

  • Share  death notifications coming from the field with the NOs in time and ensure that the related cancellation documents are produced
  • Screen the cancellation documents  sent out by the PUs for conformity  or/and to make sure that the announcement was previously shared by the related PUs

 

Managing Sponsors’ visits

  • Update the Visitors’ information Guide ( VIG) each year to be in line with Plan’s new policies whenever relevant
  • Coordinate with the NOs to ensure all processes and requirements related to the Sponsor visits are followed
  • Ensure good coordination with the field to have successful sponsors’ visits.
  • Ensure the visit reports are  sent out in time to the NOs

 

  • Ensures that Plan International’s global policies for Safeguarding Children and Young People and Gender Equality and Inclusion are fully embedded in accordance with the principles and requirements of the policy including relevant Implementation Standards and Guidelines as applicable to their area of responsibility. This includes, but is not limited to, ensuring staff and associates are aware of and understand their responsibilities under these policies and Plan International’s Code of Conduct (CoC), their relevance to their area of work, and that concerns are reported and managed in accordance with the appropriate procedures.

Technical expertise, skills and knowledge

Essential

  • Bachelor’s degree in English, Social Sciences, Development field or related studies 
  • Working experience in Sponsorship is an asset
  • Be conversant with  computer and internet : Microsoft Office including Word, Excel, Outlook email, , Childdata, CDPet )
  • Fluent in English and French
  • Data analysis and management
  • Knowledge/understanding of NO operations
